The Role: As the Executive Assistant to the CEO at CLBC, you will provide a full range of administrative and secretarial support to the CEO and other executives as assigned. Your work will include accessing sensitive material, managing confidential information flow, managing calendars, assisting and coordinating conferences and training events; scheduling meetings, and ensuring timely responses to a large volume of highly sensitive inquiries and issues.

You will function with limited supervision, exercising considerable independence in making decisions and recommendations concerning executive office operations.

Responsibilities include:

  • Establishing and maintaining effective contacts with senior and executive officials both within and outside government
  • Maintaining close liaison with the CEO and Executive Team to ensure critical deadlines are met and projects are completed
  • Managing the CEO's calendar, prioritizing meetings, schedules, assignments and travel arrangements
  • Proofreading, editing and finalizing all Executive correspondence, briefing notes, policies and reports
  • Maintaining an effective tracking system for all correspondence in regards to the CEO, outgoing mail, and actions assigned
  • Ensuring Freedom of Information and Privacy Legislation compliance in processing requests for information and retrieving documents and/or data
  • Establishing and maintaining project schedules using Microsoft Project for Executive and Project Managers
  • Exercising receiving authority for office administration budgets, personnel expenditures and recommending payment as necessary to budget limitations and policy
  • Maintaining a comprehensive knowledge of the programs and services provided by CLBC, as well as a thorough knowledge of other agencies and organizations connected to CLBC
  • Assisting with office coverage during unplanned absences, vacations, and peak workload periods

The Executive Assistant to the CEO is secondary support to the Board Liaison in support of CLBC's Board and Board Committees, as well as secondary support to the Associate Manager of Administrative Services at Head Office as required.

As an experienced Executive Assistant. you are detailed and professional in your work. You exercise flexibility, adjusting your approach as situations change, and show a willingness to adapt to and work effectively and creatively within a variety of diverse situations. You are able to work in a confidential environment where communications frequently concern complex, sensitive and urgent matters requiring the attention of the CEO and the executive team. Using your superb communication skills, you are able to interact and work effectively with officials and staff at all levels.

Qualifications:

  • Grade twelve diploma or equivalent education required and the completion of Business College or Secretarial course, a relevant combination of education and experience may be considered
  • 3-5 years experience working in an executive office environment supporting senior executives on a daily basis
  • Comprehensive knowledge and ability to produce accurate reports and presentations using software such as Excel, MS Word, Windows, PowerPoint, MS Project, CLIFF, PARIS, VISIO, Contribute, Corel Draw and Sharepoint
  • Extensive experience using electronic time management systems, electronic mail tracking systems (CLIFF preferable)
